Job Details
Within this receptionist role you will be working within our Warwick office, ensuring the effective smooth running of reception, completing reception duties efficiently. This position also includes general administrative and postal duties throughout the office, and supports colleagues within the facilities departments.
RECEPTION DUTIES
  • Uses Telephone System “Arc” – to deal with incoming calls (transferring and directing as appropriate) and dealing appropriately with sales calls. Handles overflow calls from London office
  • Meets and greets visitors
  • Issues and monitors staff temporary and visitor passes
  • Takes responsibility for the production of access cards – ensuring processes are followed for new staff and leavers
  • Uses PA system appropriately to page individuals and make whole building announcements
  • Receiving all company faxes on main fax number and distributing them accordingly
  • Organises taxi cabs for clients/for business and private use of staff
  • Updates and maintains telephone list, to be used manually if switchboard out of order and by security staff out of hours
  • “Siteguard” reports for all departments/individuals.
POSTAL COORDINATION
  • Receives and distributes all internal mail to all departments. Collects and franks all external mail.
  • Back-up person for courier bookings
  • Receives and provides signature for company/private courier parcels/advising receipt of parcels to individuals
RESOURCE COORDINATION
  • Monitors and accepts/declines, resource (i.e room bookings)
  • Liaises with Facilities Support for room layout changes
  • Collates and transfers hospitality bookings to the Catering Department
  • Completes and details maintenance diary and files additional forms
  • Reviews and processes pool car bookings requests. Allocates keys and checks driver license.
  • Takes secure bookings and returns for office equipment – laptops/iPads/projectors/speakers/screens ensuring this equipment is in full working order
  • Liaising with Facilities Dept/ALD for servicing of company vehicles.
  • Monitors stock and completes online ordering and distribution of stationary items
SECURITY
  • Liaises with security staff/both morning and evening handover completing of diary for information purposes
  • Monitors and reviews company security cameras
  • Deactivates intruder alarm
HEALTH AND SAFETY
  • Performs regular Fire Alarm System checks – contacting emergency services when required
  • Liaises with external contractor e.g. gas / electrical engineers, water meter readers etc
