Title: Operations & IT Manager
Position: Full-time Exempt (1.0 FTE)
Reports to: Director of Organizational Operations
Location: Bozeman, MT
Hiring Date: Fall 2022

Primary Functions:
The Operations and IT Manager supports the Director of Organizational Operations with general operations and ensures that technology-based operations are effective, efficient, and suitable to the goals of the organization. This position manages program logistics, organizational technology, and digital databases including a multimedia library, shipping, procurement and inventory. This position supports technology-based live streaming and outreach initiatives.

Primary Duties

General Operations (.5)

  • Coordinate the technology onboarding process for new staff
  • Establish and manage shared folders in Google Docs for annual processes such as debrief and planning meetings
  • Collaborate with field programs team to research, implement, and manage shared planning and logistics tools that ensure smooth and efficient operations
  • Assist Senior Canada Operations Manager with international procurement, freight shipments, and receiving of program cargo including food orders, technical equipment, construction materials, and facilities
  • Assist research team with project logistics, planning, and procurement of field-based equipment
  • Coordinate shipping and receiving including fulfillment of e-commerce orders, marketing communications, and outreach materials
  • Manage e-commerce sites in WordPress and WooCommerce and fulfill and ship orders in a professional and timely fashion
  • Coordinate with program managers to ship materials and equipment to conferences, partners, and field sites
  • Oversee the symbolic adoption program and employee order fulfillment to ensuring adequate inventory of adoption and shipping materials
  • Greet office visitors, answer telephone, distribute mail, and coordinate general requests

Information Technology (.3)

  • Maximize productivity through the management of environment and platforms including Microsoft, Google, Zoom, and Verizon accounts
  • Establish and oversee contracts with IT technical and security consultants
  • Oversee privacy, data security, and regulatory compliance
  • Oversee procurement, set-up, maintenance, and repair of computers and other office equipment
  • Provide IT support and coordinate solutions to resolve technical issues, perform software updates, and provide ongoing training with staff remotely and in-person
  • Work with the accounting, philanthropy, and membership teams to ensure security procedures are implemented through workflows between teams and the membership software system
  • Coordinate software needs; including; working with program teams to determine and evaluate the best software solutions, managing the deployment and integration of software, and keeping abreast of new software technologies

Media Production and Outreach Support (.2)

  • Support live streaming programs, events, and initiatives using VMIX, Zoom and/or similar software
  • Oversee multimedia archives and advise on technology-based systems for distribution
  • Manage photos in PBI’s multimedia library using Lightroom and Mylio; maintain folders of photos for external use.
  • Manage video files on master hard drives and ensure project files are updated and video assets are available for internal and external use
  • Support outreach programs by updating multimedia content for use in the Tundra Connections, Conservation Happy Hours, and other initiatives
  • Assist with managing licensing agreements
  • Keep up with trends in video production, content delivery networks (CDNs), and video library management
  • Provide input on ways to use the media library to to further our knowledge of and communicate about polar bears
  • Suggest maintenance and equipment updates needed to support multi-media library

Required Qualifications

  • 2-5 years of experience in operations, logistics, and database management
  • Excellent computer skills including extensive experience working with Apple products, Microsoft Office Suite, Google Drive, and other shared software programs
  • Excellent project management, organizational, and problem solving skills
  • Aptitude for technology troubleshooting and navigating a diverse suite of software
  • Experience working with Adobe software: Lightroom, Photoshop, Premier Pro, Media Encoder
  • Exceptional attention to detail and flexibility in managing changing schedules and needs
  • Excellent verbal, analytical, organizational, and written skills
  • Ability to work both independently and as part of a group
  • Ability to share knowledge, communicate ideas, and collaborate with diverse and remote teams
  • Drivers license and ability to operate vehicles safely
  • Willing to travel internationally

Preferred Qualifications

  • Two to three years administrative experience
  • Experience working with nonprofits
  • Experience working with Adobe software and other live-streaming software such as VMIX
  • Experience with website infrastructure and cyber security
  • High reasoning skills as demonstrated by the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Passion for and knowledge of issues in wildlife conservation and the Arctic
  • Ability to adjust schedule to support organizational needs

Compensation Range: $45,000 – $58,000 DOE. This position is full-time exempt. PBI provides competitive health benefits, a 3% match on a 401k, generous personal and paid time off, and flexible scheduling
