Job Description :
The Jr. Office & HR Coordinator provides general office, administrative and bookkeeping support to corporate administrative needs. The position requires a professional, courteous, and helpful demeanor when answering phones and when greeting customers/vendors who visit Jet Mail. The position will provide human resources support in talent acquisition, by placing ads, reviewing resumes, and setting up interviews with potential candidates for hire. This position provides support to staff throughout Jet Mail which ties into our core values of teamwork, collaboration, innovation, and fun. This position reports directly to the Chief Financial Officer.

- Answer, screen and refer incoming calls the correct person or department.
- Manage office supplies and inventory.
- Maintain organized and welcoming office for employees and guests.
- Handle visitor registration and visitor badges.
- Responsible for service calls and supplies for all office equipment.
- Collect inbound mail and distribute accordingly.
- Manage the planning and execution of office events and employee experience initiatives/activities.
- Sets up meetings for executive team and company-wide events.
- Manages job postings, applications, and pre-screening of candidates.
- Onboards new hires by ensuring workstations are put in place and all required benefits paperwork is completed correctly.
- Maintain all personnel and benefits records.
- Review, track, and document compliance with mandatory and non-mandatory training, continuing education, and work assessments.
- Reports payroll, coordinates and tracks employee leave time.
- Point person for ADP administration.
- General bookkeeping, i.e., invoicing and billing as directed by the CFO.
- Assist with ad hoc projects and general administrative duties as requested.
- Perform other duties as assigned
- 8:00am to 5:00pm or later as needed, Monday – Friday
- –Some rare weekends based on tasks/projects.
- –Some short notice and no notice overtime.
- Prior office administration and human resources experience.
- Excellent interpersonal, written, and verbal communication skills.
- Must display a high degree of professionalism and maintain confidentiality at all times.
- Ability to handles multiple tasks in a fast-paced highly dynamic environment.
- Ability to prioritize tasks and to identify and set priorities.
- Microsoft Office Word, Outlook, Excel experience.
- Exceptional organizational skills and attention to detail.
- Ability to work as a member of a team and to meet deadlines.
