About the position Verdant Specialty is seeking a talented Executive Administrative Assistant for the company’s corporate offices in downtown Houston, Texas. This position will handle complex administrative tasks and facilitate the Leadership Team as it works on company initiatives and goals. The role will require a high level of professionalism working across multiple departments and the ability to work efficiency in a very fast paced and rapidly changing environment.

This is a full-time, onsite position with company paid parking.

Salary range for this position is $75,000 to $90,000 depending on experience.


Key Responsibilities

  • Provide administrative support to the C-Suite including managing calendars, scheduling complex/cost effective travel, preparing expense reports, monitoring/responding to emails and messages as needed
  • Draft, review and send communications on behalf of the Leadership team
  • Organize and prepare for meetings, including organizing logistics, handling communications, gather documents/presentations, distributing materials etc.
  • Develop and prepare meeting documentation and presentations by collaborating with stakeholders and management.
  • Maintain various records and documents for leadership team
  • Use discretion and judgement and knowledge or organization to facilitate the executive’s activities
  • Contribute to ad hoc projects as and when needed for the leadership team
  • Manage the Corporate Office, including but not limited to:
    • Handle printing, faxing, mail/overnight packages, copying, filing and email/messages.
    • Manage office space schedule and reconfigure as needed.
    • Maintain supplies
    • Coordinate with building management
    • Manage access rights and parking passes
  • Provide administrative project support to others in the Leadership team as needed.

Requirements

  • 3 to 5 years in an executive assistant role in a corporate setting.
  • College degree is high desirable.
  • Project management skills are a must.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office including Power Point.
  • Exceptional organizational and time management skills.
  • Strong attention to detail.
  • Excellent interpersonal skills.
  • Experience with managing expenses and dealing with vendors.
  • Ability to use discretion and act appropriately with sensitive and confidential information.
  • Ability to think and plan head, delegate responsibilities appropriately and manage time effectively.
