Job Description :

The Director of Clinic Operations is responsible for all aspects of WIU’s clinic operations at all locations including Pt Access, Clinical Staff, and Diagnostics areas. Leader ensures patient experience is provided at an exceptional level while improving processes and workflows for providers, staff, and patients. Accountable for adherence to policies and procedures while ensuring all regulatory requirements are met in areas of responsibility. Develops and meets budget with a focus on providing high integrity care to the community while delivering on financial stability for the organization. This position works collaboratively with the DON (WISE) to accomplish growth and strategy objectives.

Essential Job Duties:

Support of daily operational functioning of all clinic areas including ensuring adequate resources are available including staffing and equipment.

Alignment of provider schedules to meet strategic goals of WIU as well as individual provider productivity and preferences.

Execution of WIU strategic initiatives in areas of responsibility.

Monitoring and improvement re: metrics of performance/KPIs.

Addition of services and procedures to further provision of care to the urologic patient.

Ensures the creation, documentation, and maintenance of policy and procedures for all areas of oversight. Reviews and approves policy created by department leaders. Provides supervision of implementation of new policies or procedures. Ensures alignment of procedures with regulatory requirements.

Coordinates with all departments in planning for short- and long-range fiscal needs and ensures expenditures adhere to legal and budgetary requirements.

Responsible for recruitment, training, supervision, and evaluation of leaders within areas of responsibility. Coaching and development of leadership team and staff as appropriate. Completes annual employee performance reviews for direct reports in a timely manner. Completes payroll sign off in a timely manner to ensure fiscal responsibility.

Prepares reports/updates as needed for Board of Directors, CAO, or other State/Federal program requirements.

Coordinates staff activities to assure adherence to OSHA, HIPAA, Compliance and various regulatory requirements. Demonstrates working knowledge of governmental and health care fiscal regulations and reporting requirements.

Other duties as assigned by the CAO or Board of Directors

Role Requirements

Must possess a college degree in the business or medical field and have a minimum of 3-5 years of healthcare management experience. Must be highly skilled in evaluating operations as they relate to policies, goals and objectives maintaining costs and revenue. Will have the ability to analyze financial options and prepare recommendations to the Board of Directors. Must be able to relate effectively and professionally with employees, patients, and providers. Must be able to communicate clearly and concisely in writing and orally. Must have ability to deal with the public in a professional, courteous and diplomatic manner. Act as a hands-on manager with the ability to deliver on multiple expected outcomes while also inspiring and leading team members. Demonstrates initiative and is a self-starter. Must have organizational skills and demonstrated critical thinking and problem solving abilities. Must be able to lift up to 30 pounds. Position must be able to move freely around the office environment and will have occasional evening and weekend work. Travel may be required.

Job Relationships

The position supervises managers and other leaders including clinical personnel while providing direct support for all WIU clinic departments. Position reports to CAO in all matters.
