Digitization QA (Quality Assurance) Specialist

Position Summary

This position will support the US Department of Energy (DOE) Office of Scientific and Technical Information (OSTI) vision to ensure long-term preservation of and access to DOE scientific and technical information through the digitization of research documents dating back to the 1940s.

Position-Specific Duties

  • Manages digital and paper files according to organizational guidelines.
  • Ensures all records are properly prepared for long term digitization.
  • Performs QA inspections to ensure that images are clear and complete.
  • Performs security reviews ensuring records are available for public dissemination.
  • Follows and updates workflows combining software and hardware to optimize scanning operations and introduce efficiencies.
  • Meets output requirements as defined by team lead (or supervisor).
  • Ensures that equipment such as scanners and other processing tools are operating as intended.
  • Provides administrative support related to documentation of processes and systems.
  • Provides reports to management on a regular basis.
  • Distributes information to internal departments as required.
  • Maintains strict document control.
  • Performs other related duties, as required.

Education, Training, and Experience

  • High School diploma or equivalent.
  • Experience with records management or digitization is a plus.
  • 0-3 years relevant experience preferred.

Knowledge, Skills, Abilities

  • Excellent customer service.
  • Ability to identify quality issues with digitized and born-digital image files.
  • Strong attention to detail.
  • Ability to identify opportunities to improve current workflows, systems, software, and hardware.
  • Basic computer operations.
  • Proficiency in MS Office (Word, Excel)
  • Proficiency in Adobe Acrobat (or similar PDF management tools).
  • Office management systems related to digital and paper record keeping.
  • Operation of several types of office and digitization equipment.
  • Follows written and verbal instructions.
  • Interprets a variety of routine processing problems and takes corrective action.
  • Communicates effectively verbally and in writing.
  • Prioritizes work.
  • Performs within deadlines.
  • Works well in a team environment as well as independently.
  • Establishes and maintains effective working relationships.
  • Multi-tasks by handling a variety of duties in a timely and efficient manner.
  • Follows through with assignments.

Physical Abilities

  • Ability to sit for extended periods of time.
  • Ability to view computer monitor for extended periods of time.
  • Ability to lift file boxes and related equipment
  • Ability to bend and reach and climb ladders

Ability to provide proof of US Citizenship on your first day of employment to obtain a DOE HSPD-12 Badge in accordance with the terms of the contract. Department of Energy OSTI’s policy direction requires all employees employed on this contract to be citizens of the United States.
