Job Description :

Nature of Work

The City of Miami Beach Tourism and Culture Department creates opportunities for economic enhancements in the tourism and cultural industries through the development of innovative and professionally executed special event permitting processes. Reporting to the Assistant Director – Tourism and Culture, the ideal candidate will be responsible for developing, designing, and implementing production strategies for special events. The role requires flexibility, patience, focus, determination, and optimism. This role is responsible for the production of small-to-large scale special events as tasked. Duties also involve organizing, planning, and facilitating City of Miami Beach special events, from inception to completion. Work involves frequent contact with event representatives and the public regarding various facets of special events.

Illustrative Examples of Essential Duties

  • Produce city-sponsored small-to-large scale events, outdoor performances, and other cultural programs.
  • Oversee all aspects of arts and culture programming and production, including but not limited to curating and production of all aspects of an event, such as a concert, temporary art installation, and cultural event, from conception to execution.
  • Maintain of the production planning cycle and critical paths.
  • Preparation and coordination of event logistics and documentation, including site inspections and assessments, site plans, production schedules and technical coordination.
  • Negotiate and contract the participation of various public & private properties for various special events.
  • Coordination and implementation of safety and security, crowd control and insurance.
  • Maintenance of partnerships with various City services, including Police, Fire, Parking, Transportation, Emergency Services and other City departments for all City of Miami Beach special events.
  • Development, administration & monitoring of event operating budgets.
  • Monitor all projects on location to assure compliance with City regulations.
  • Coordinate efforts with local, county and state agencies.
  • Meet with concerned individuals, neighborhood, and business associations about City of Miami Beach Special Events in their area.
  • Identify and review all documentation required for the issuance of City of Miami Beach Special Events Permit which includes applications, fees, insurance certificates, indemnity agreements, City services and thoroughly developed site implementation plans.
  • Forwards applications and collateral materials to neighborhood associations, City departments and other applicable agencies on a regular and timely basis.
  • Participates in monthly internal special events meetings to coordinate City services for City of Miami Beach Special Events.
  • Work closely with film and special event permitting units and offers support when necessary.
  • Assist in the development of budgets for related City services; collects and transfers all City service personnel expenses to all applicable departments; collects, records, and deposits all application and permit fees.
  • Distribute receipts and maintains accurate copies of all checks and cash receipts to ensure accurate accountability.
  • Monitors adherence to approved plans and provide evaluation of professional implementation.
  • Maintain updated special event calendars for inter-departmental and internet distribution.
  • Compose and distribute correspondence and communication regarding special events.
  • Maintain a synopsis of all events, including attendance data.

Minimum Requirements

  • Five-years’ experience in Event Management and Production.
  • Bachelor’s Degree or equivalent experience.
  • Two to three-years’ experience supervising, planning, and organizing.


  • Experience in outdoor and large-scale event production.
  • Master’s degree.
  • General Knowledge of computer drafting software (AutoCAD)
  • Two to three-year experience working in a government setting.

Physical Requirements:

  • Must have the use of sensory skills to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact.
  • Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to, word processor, calculator, copier, and fax machine.
  • Must be able to lift 50lbs.
  • Job will require standing and walking for long periods while on site, executing events.

  • Reports to work as directed during an emergency as an essential employee of the City of Miami Beach
